Explain the offer, carry useful details into the chat and assign a next action. Measure received enquiries separately from WhatsApp clicks, accepted quotes and actual payments.
A useful WhatsApp enquiry starts before the chat opens. The visitor needs to know what you offer, whether it suits them and what to send. Your team then needs an owner and a next action for the real conversation.
Answer enough for someone to take the next step
Put the service, who it suits, a real example and price guidance near the contact route. If the price depends on a brief, explain which details affect it. A renovation visitor needs to know whether you handle their type of work; a wholesale buyer needs to know whether you accept their quantity.
Use a button that says what happens: “Ask about this service” or “Send my product enquiry”. Keep your phone number readable too. Do not require an account or a long form just to ask a first question.

WhatsApp’s click-to-chat documentation explains that a prefilled message appears in the chat text field. The visitor still decides whether to send it. Opening WhatsApp is not evidence that your business received an enquiry.
A copyable brief and first reply
Illustrative website enquiry:
Hi, I run [business] in [location]. I need a website for [service/products]. Customers should [ask for a quote/browse products/contact us]. I have [logo/photos/text] ready. My preferred language is [language], and my target timing is [date or unsure].
Keep uncertain answers optional. Asking a first-time buyer to specify an integration or exact page count can stop a useful conversation.
Illustrative reply: “Thanks, I understand you need a site for your renovation services. Do you already have project photos we can use, and should customers ask about one service or several? I’ll use that to suggest the scope.” Confirm what was received before asking for missing details.

Illustrative calculation: if ten distinct enquiries arrive and four meet your agreed qualification rule, that is four qualified enquiries out of ten. It says nothing about the percentage of website visitors who enquired unless you also have a reliable visitor measure for the same period. It is not a benchmark or a forecast.
Give the team a routine it can maintain
- Assign someone to check new enquiries and a backup when they are away.
- Keep a reference, source, status, owner and next action for each enquiry.
- Use New, Contacted, Qualified, Quoted, Won or Lost only when the corresponding event happens.
- When following up, refer to the unresolved decision. Stop repeated nudges when the customer declines or puts the project on hold.
- Review lost or stalled enquiries for a specific issue: unclear scope, missing proof, timing, price or no reply.
Before promoting the site, test one form submission and one direct chat from a phone. Confirm the right business receives the message, the reference survives the handoff and the team can reply without asking the visitor to start again.
